What an AI agent actually does for a small business

What an agent is, in one sentence

An agent is software hired to do a job. Not a chatbot you ask questions to. The agent takes the job and does it — reads inbound mail and drafts replies in your voice, updates your CRM after every call, runs a weekly report on a schedule. You read the change log. You keep the keys.

The thing that makes it an agent (and not just another piece of software) is that it acts on its own once the job is set. You do not press a button. The job runs.

What the first day looks like

Pick the Executive Assistant agent as an example. Here is the shape of Day 1 after we hand you the keys.

  • 7:00 AM — The agent has already read overnight mail, sorted what needs you from what does not, drafted replies for the routine threads, and queued a one-page morning plan in your inbox.
  • 8:30 AM — Your first meeting prep packet appears in your calendar invite: who the attendees are, what you last talked about, what they have done since.
  • Through the day — Calendar conflicts get resolved without you, focus blocks get defended, and the threads you said you would get back to get followed up on a schedule.
  • 6:00 PM — An end-of-day digest lands: what got done, what slipped, what is queued for tomorrow.

The agent does not need you to trigger any of this. It runs on its own. You read the outputs.

The five things the agent does on its own

On Day 1, you decide what runs without asking and what waits for your sign-off. A typical opening week looks like this:

  1. Sort the inbox.
  2. Draft replies to routine threads.
  3. Manage the calendar — accept, decline, defend.
  4. Build morning plans and end-of-day digests.
  5. Track every open loop ("I'll get back to you on that") and resurface it on time.

Five jobs, one agent, one inbox in your domain. You can add more in week two. You can pull the agent off any of them in five minutes.

The two things it still asks you about

Even after the agent is dialled in, two kinds of decisions stay yours:

  • Anything that changes a customer relationship in a substantive way. A pricing change, a refund, a personal apology. The agent drafts; you send.
  • Anything new. A new vendor, a new contract, a new commitment on your calendar. The agent flags it and gets out of the way.

This is on purpose. An agent should free up your judgement, not pretend to have your judgement.

How it gets better the second week

Every reply you edit, every meeting you reschedule, every customer the agent failed to handle right — all of it goes into the agent's memory. Not training data for some other model. Just the agent's own notes about how the work gets done at your company. By week two it sounds more like you. By week four it knows the shape of your week.

You can read those notes. You can edit them. You can delete them.

FAQ

Is this just a chatbot with a different name?

No. A chatbot answers when you ask. An agent does the work without being asked, then tells you what it did. The chatbot is the steering wheel. The agent is the driver.

Will it send mail to my customers without me seeing it first?

Only if you tell it to. Default for week one is draft-only — every outbound reply waits in your drafts folder until you press send. Once you trust the patterns, you can flip individual workflows to send-without-review.

What if it gets something wrong?
